Our approach

With 31 years of experience supporting Nonprofit organizations, we have developed an efficient and reliable Project Management and onboarding methodology. We work with two different project approaches and, depending on the scope and complexity of the project, we determine together with the organization which approach is the best fit.

Project Management Approach

During our onboarding projects, we work using an Agile methodology, with work divided into sprints. This approach leads to a Minimum Viable Product (MVP), ensuring that the highest‑priority requirements are addressed first.

Key success factors:

  • Strong collaboration within the project team.
  • Ifunds provides consultants, a lead consultant, and a project manager or scrum master.
  • Preferably, the customer appoints a Product Owner with decision‑making authority and Key Users with in‑depth process knowledge.
  • Training of key users from the start, following a train‑the‑trainer approach.
  • A steering committee to monitor progress, risks, and successes.
  • Early involvement of end users through demos and inspiration sessions.

Delivering value

Clear objectives and realistic deadlines are essential. We work in small teams, with activities divided into sprints. Flexibility and an Agile mindset are crucial. The Definition of Done for user stories and epics is defined in advance.

Sprints

During sprints, organizational requirements are elaborated, configured, and tested by Key Users. At the end of each sprint, a demo and evaluation take place. User stories with the status done are not reopened; new insights are added as new stories.

Product Backlog

At the start of the project, requirements are captured in a product backlog. The Product Owner (customer) determines prioritization. New or complex requirements are reviewed by the steering committee.

Risk Management

The Ifunds project manager maintains a risk log in which all risks and mitigating measures are documented. Reporting is provided to the steering committee.

Adoption and support

After go‑live, we ensure adoption through our delivery team, which supports you with questions, optimizations, and application management. Support requests are submitted via our ticketing system and handled according to a clear SLA, ensuring that you continue to use the solution effectively.

Onboarding Approach

Sometimes you simply want to get started quickly with working more efficiently using a robust standard solution. That is exactly what our onboarding approach is designed for. We get you live quickly on one of our standard solutions and support a strong start and adoption through training and online documentation.

Installation

Onboarding starts with provisioning the environments, setting up the OTAP pipeline, and completing the technical installation. We work with standard user stories and stay as close to the standard as possible.

Configuration

The core principle of Ifunds is to onboard our customers onto our standard solution. Any desired additions or extensions are always implemented in consultation and may impact timeline and budget. Documentation is provided by Ifunds, while user manuals are created by the customer.

Data migration

Data migration offers an opportunity for data cleansing and structuring. There are three migration moments: a test migration, an acceptance migration, and the go‑live migration.

Training

Training starts immediately at the beginning of onboarding and is based on a train‑the‑trainer approach. Training is always available, with monthly product training sessions offered either online or on site, for both new employees at a foundational level and experienced employees focusing on specializations.

Acceptance

After go‑live, we sign a discharge document. From that moment on, an intensive support program starts, which is gradually scaled down to the regular level of support.
